Introduction

By booking and attending a service with The Midwives Circle and Wellness Centre Ltd, you agree to the following Terms & Conditions. By proceeding with a booking, you confirm that you have read, understood, and agree to these In-Person Services Terms & Conditions. These terms are written in line with UK consumer law and the professional standards of midwifery practice in England. Services available at The Midwives Circle and Wellness Centre may include antenatal courses, hypnobirthing education, private educational sessions, complementary therapies, acupuncture, massage, reflexology, and other wellness services delivered in person.

Services Delivered by Independent Providers

Some services offered through The Midwives Circle and Wellness Centre Ltd website are delivered by independent companies operating alongside us within the same building. These providers are separate businesses and are responsible for the services they deliver.

Independent providers currently include:

  • Buttercup Maternity Therapies and Clinic – providing complementary therapies and clinic services such as massage, reflexology, acupuncture, and other wellbeing treatments.

  • Hypnobirthing with Katie – providing hypnobirthing education and birth preparation courses.

Important Information About Independent Services

When booking a service delivered by an independent provider:

  • The service is delivered by the named independent provider, not by The Midwives Circle and Wellness Centre Ltd.

  • The independent provider is responsible for their own professional indemnity, service delivery, and clinical practice.

  • The provider’s own Terms & Conditions, cancellation policies, and refund policies apply.

  • Clients should ensure they have read and understood the provider’s policies before booking.

Where relevant, links to the provider’s Terms & Conditions will be available on their website or provided during the booking process. The Midwives Circle and Wellness Centre Ltd cannot process cancellations, refunds, or complaints relating to services delivered by independent providers. Any queries regarding these services should be directed to the provider delivering the service.

Complementary Therapies

Complementary therapies available at The Midwives Circle and Wellness Centre may be delivered either by:

  • The Midwives Circle and Wellness Centre Ltd, or

  • Buttercup Maternity Therapies and Clinic (independent provider).

Where a therapy is delivered by Buttercup Maternity Therapies and Clinic, their own Terms & Conditions, cancellation policy, and refund policy will apply.

Clients will be informed at the time of booking if a service is delivered by Buttercup Maternity Therapies and Clinic.

Educational Services

Educational services available at The Midwives Circle and Wellness Centre may be delivered either by:

  • The Midwives Circle and Wellness Centre Ltd, or

  • Hypnobirthing with Katie (independent provider).

Where a course or session is delivered by Hypnobirthing with Katie, their own Terms & Conditions, cancellation policy, and refund policy will apply.

Clients will be informed at the time of booking if a service is delivered by Hypnobirthing with Katie.

Booking & Payment

Complementary Therapies and One-to-One Appointments

(Provided by The Midwives Circle and Wellness Centre Ltd).

Payment may be made at the time of booking or immediately after your appointment. Appointments are only confirmed once a booking has been made and payment arrangements agreed. Where a booking relates to a service delivered by an independent provider, their own booking and payment policies will apply.

Courses and Group Activities

(Including antenatal courses delivered by The Midwives Circle and Wellness Centre Ltd)

Places on courses may be secured with a £50 non-refundable deposit at the time of booking.

The remaining balance must be paid in full before the course start date in order to confirm your place.

Once a deposit has been paid, your space on the course is provisionally reserved. The booking will only be fully confirmed once the remaining balance has been received before the course begins.

If the remaining balance has not been paid before the course start date, The Midwives Circle and Wellness Centre Ltd reserves the right to release the space and offer it to another participant.

The £50 deposit is non-refundable, as it secures a limited place on the course and allows us to plan course delivery, venue preparation, resources, and group sizes in advance.

Course places are limited in order to maintain a safe, supportive, and high-quality learning environment.

Where a booking relates to a course delivered by an independent provider, their own booking, payment, cancellation, and refund policies will apply.

Cancellation Policy

Our cancellation policy depends on the type of service booked and applies only to services delivered by The Midwives Circle and Wellness Centre Ltd.

Where a service is delivered by Buttercup Maternity Therapies and Clinic or Hypnobirthing with Katie, their own cancellation policy will apply.

Complementary Therapies & One-to-One Appointments

(Provided by The Midwives Circle and Wellness Centre Ltd)

More than 48 hours’ notice

A full refund or the option to reschedule may be offered, subject to availability.

Less than 48 hours’ notice

Appointments are non-refundable. Rescheduling may be offered at our discretion.

Non-attendance

Missed appointments without notice are non-refundable and cannot be rescheduled.

Courses & Group Activities

(Provided by The Midwives Circle and Wellness Centre Ltd)

More than 14 days before the course start date

Refunds may be offered and will be considered on a case-by-case basis, depending on the reason for cancellation. Alternatively, you may choose to transfer to a future course, subject to availability.

Less than 14 days before the course start date

Refunds are not normally available. In these circumstances, we will usually offer a transfer to an alternative course date where possible.

After the course has started or in cases of non-attendance

Refunds are not available. Transfers may be considered only in exceptional circumstances.

Early Birth

If your baby arrives before your scheduled course date, please contact us as soon as possible.

Where possible, we will aim to offer alternative resources, transfers to other services, or access to course materials, however refunds cannot be guaranteed due to the reserved nature of course places and advance planning required.

Why Course Transfers Are Offered Close to the Start Date

Our courses and group activities require advance planning, venue preparation, and limited group sizes to ensure a safe, supportive, and high-quality experience.

When a cancellation occurs close to the start date, it is often not possible to fill that space at short notice. For this reason, and to be fair to both our clients and practitioners, cancellations made within 14 days of the course start date are usually offered a transfer to a future course rather than a refund. This approach allows flexibility where possible while ensuring services can continue to run safely and sustainably.

Cancellations by Us

If we need to cancel or reschedule a service due to illness, emergency, or unforeseen circumstances, you will be offered either:

  • a full refund, or

  • a transfer to an alternative appointment or course at no additional cost.

Refunds

Refunds are only issued in line with this policy.

Once a service has been delivered, refunds cannot be provided.

Health & Safety

Please inform us of any relevant health conditions, allergies, or pregnancy-related concerns before your appointment or course. Some therapies or activities may not be suitable for everyone. We reserve the right to adapt or decline a service if it would be unsafe to proceed. Our services are complementary and educational in nature and do not replace NHS maternity care or urgent medical attention.

Professional Standards

Services delivered by The Midwives Circle and Wellness Centre Ltd are provided in line with the Nursing & Midwifery Council (NMC) Code of Conduct, including:

  • respecting confidentiality

  • working in partnership with clients

  • prioritising safety at all times.

If safeguarding concerns arise, we may be legally required to share relevant information with appropriate agencies.

Liability

All services are provided with care, skill, and professionalism.

Participation in courses, therapies, and wellness services is voluntary and at the client’s own discretion.

The Midwives Circle and Wellness Centre Ltd cannot accept liability for injury, loss, or damage except where required by law.

Booking Page Clarification

Some services booked through The Midwives Circle and Wellness Centre website are delivered by independent providers operating from the centre. Where this applies, the provider’s own Terms & Conditions, cancellation policies, and refund policies will apply. Clients will be informed during the booking process if a service is delivered by an independent provider.
